Leave of Absence

PURPOSE:

 

To reinforce and provide clarification regarding Leave of Absence (LOA), during residency.

POLICY:

 

It is the policy of Advocate Illinois Masonic Medical Center (AIMMC) and the Medical Education Department to allow residents time away from residency training for family, medical, or personal reasons as per the Advocate System Policy # 90.013.010 Leave of Absence.

Procedure

NOTIFICATION

  • Residents requesting a LOA for any reason are responsible for notifying their Program Director as soon as the need for such leave becomes known. The resident must complete the Associate Notification of Intent to Request an LOA form.
  • The resident must contact the Human Resources Department to determine the type of leave they are eligible for as listed in the Advocate System Policy # 90.013.010 Leave of Absence.
  • The resident is responsible for completing all appropriate paperwork in a timely manner.

ELIGIBILITY AND DURATION OF LEAVE

MAINTENANCE OF BENEFITS

  • If a resident goes on an unpaid LOA Illinois Masonic will continue to provide benefits through the end of the calendar month in which the resident's premium deduction is taken.
  • While on unpaid leave the resident has the option to continue the same health/dental/vision coverage by contacting Human Resources to arrange for on-going payment of these benefits.
  • THE RESIDENT IS RESPONSIBLE FOR SCHEDULING A TIMELY MEETING WITH THE HUMAN RESOURCES DEPARTMENT TO PLAN FOR BENEFITS CONTINUATION.

RESPONSIBILITES AFTER RETUNING FROM LEAVE OF ABSENCE

  • Upon returning from LOA the resident will assume usual night-call responsibilities.
  • Night-calls missed during the leave of absence will not accumulate as calls to be made up later.

If additional makeup training time is contracted, usual night-call is assigned at that time.

Individual residency programs may consider various options upon the resident's return to work (e.g. reduced hours, postponement of some night-call, curriculum juggling etc.) , which may be granted by the Program Director depending upon feasibility (patient care considerations, workload of other residents in the program, requirements of certifying agencies etc.).

MAKEUP REQUIRMENTS FOR RESIDENCY TIME MISSED

  • If a resident takes a LOA, additional training time may be necessary in order to be eligible for full credit towards board certification, or for AIMMC certificate of successful completion of a year of training. (See GE-11)
  • A contract extension is routinely granted for additional periods of up to 12 weeks. Longer periods of makeup training may be offered on an individual basis by the Program Director depending on patient care considerations, curricular considerations, scheduling etc.
  • No additional vacation time, personal days, or sick days will be granted during make up training time of 12 weeks or less.
  • In those cases where more than 12 weeks of makeup training are permitted, one sick day per month make-up time, one vacation week per 4 month makeup training time are permitted and one sick day per month makeup time will apply.
  • Salary and benefits will continue during all extended contract training time.
