Procedure

1. The Program Director is responsible for the decision of resident promotion.
2. The Program Director will obtain, from the faculty as well as from other pertinent sources and/or relevant committees, information on the performance of each resident regarding promotion.
3. The Program Director will also take into account the appropriate guidelines set by the Accreditation Council for Graduate Medical Education, the Residency Review Committee, institutional guidelines, specialty board guidelines, institutional resources, and program guidelines in making the decision.
4. The Program Director may offer a resident additional time in any given Post Graduate Year prior to considering promotion of said resident. The added time would be used to allow the resident to achieve the required level of proficiency for promotion. A resident accepting this condition should be given a summary of deficiencies, a delineation of the remediation program and the criteria for advancement.
5. In instances where a resident's agreement is not going to be renewed, i.e. the resident is not being promoted, the Program Director will provide the resident with a written notice of intent not to renew no later than four months prior to the end of the resident's current agreement. If the primary reason(s) for the non-renewal occur within the four months prior to the end of the agreement, the Program Director will provide the resident with as much written notice of the intent not to renew as the circumstances will reasonably allow prior to the end of the agreement. A resident that has received a written notice of intent not to renew his/her agreement may invoke the "Appeals Process for Residents" policy (GE-9).
